How to create a restaurant schedule without baking in overtime

The fastest way to build a restaurant schedule is to copy last week's and adjust for known absences. It is also the most common way overtime and overstaffing get baked into a roster before it is even published.

Start from a forecast, not last week

A schedule built against the store's own sales history — the same day last year, the trend over recent weeks, any known local event — will call for a different labour spend than copying last week's roster forward, especially around a holiday, a weather event or a local event that moves footfall.

Price it as you build it

A shift is easiest to adjust before it exists in the published schedule. Role, department, break and hourly rate resolved into a running cost the moment a shift is added means a manager can see the week's labour spend climbing in real time, rather than discovering the total after every shift is already assigned.

Check the running total across every store, not just this one

Overtime rarely comes from one schedule looking wrong on its own. A person working four shifts at one store and two at another is over 40 hours in law and under 40 in each store's own report — which means the check has to cross stores, not just look within the one being built.

Grade it before you publish

A single score for the draft schedule — weighted toward overtime risk, checked against the labour budget — turns "does this schedule work" into a checkable answer before anyone has been told their hours, rather than a question answered by payroll two weeks later.
